Ferrer Hotels is a hotel chain based in Mallorca, dedicated to providing unique and personalized experiences for its guests. With six hotels located in privileged destinations in the Balearic Islands: one in Cala Bona, two in Alcudia, two in Can Picafort, and one in Ciutadella (Menorca).

Manual task repetition
The reception staff managed repetitive manual tasks, such as data collection and document verification, which slowed down the process and increased the workload.
Long check-in lines
During peak hours, guests had to wait in long lines to check in, negatively impacting their experience and the hotel’s operational efficiency.

The use of paper forms and the printing of documents generated high costs in materials and resources, in addition to the storage issues involved.
The hotel chain turned to Civitfun's solutions to optimize both check-in and payment for taxes and reservations, improving operational efficiency and guest experience. Furthermore, thanks to the bidirectional integration of Civitfun's solutions with Antfor, the PMS of Ferrer Hotels, data collection has become even more efficient and centralized.
Before arriving at the hotel, guests can quickly and easily complete their data with the online check-in via an automated email or a button enabled on the hotel’s website.
The online check-in process includes a dynamic form that adapts to each type of guest and integrates an DNI scanner to streamline data collection. Additionally, documents such as the CARDEX are enabled, allowing guests to review their information and the hotel’s before completing the process, reducing reception lines and optimizing staff workload.
For guests who have not previously completed online check-in, T-Paperless enables auto check-in online directly at the front desk. With Push Paperless functionality, guests can review their data and sign in electronically via tablets at the front desk, speeding up the check-in process and eliminating the need for paperwork.
On the other hand, the implementation of Payment Protection in the check-in process digitalizes the payment for reservations and tourist taxes, ensuring a 100% secure transaction. This eliminates the need for paper invoices, reduces booking errors, and avoids refunds.
